Purpose
The Broadcast Venue Management Coordinator is part of the Host Broadcast (HB) Venue Management team in Miami and plays a key role in supporting the team’s day-to-day activities related to the various FIFA projects in the United States in 2025.
Working from the HBS Miami office, the main responsibility of the Coordinator is to maintain and update the various Administrative, Project Management, Financial and Project tools that are used across HBS for the FIFA Club World Cup 2025 (FCWC25).
The Coordinator actively contributes to the alignment of the department activities and supports the Broadcast Venue Managers (BVM). He/she is the main Venue Management contact for coordinators holding similar roles at other HBS divisions/departments.
Main Responsibilities
Preparation
- Responsible for entering relevant information and data in the corporate HBS tools and works in close cooperation with the Project Management Office (PMO).
- Assist VM members in monitoring the progress of the project and ensure its alignment with the timeline and key milestones for the respective
- Maintain communication and liaise with other divisions and departments to ensure a synchronous way of working and proactive alignment on target dates and procedures.
- Responsible for planning regular meetings on behalf of the VM team to ensure the necessary follow-up and coordination on the ongoing projects.
- Assist VM members in drafting agendas, presentations, and minutes for both internal and external sessions.
- Coordinate travel arrangements and accommodation needs for the VM staff members in cooperation with the logistics department.
- Support VM members in the preparation and development of project- related documentation.
- For each event, coordinate the staffing plans through the relevant tools available to provide relevant information to:
- Logistics (details related to travel, accommodation, and accreditation)
- Human Resources (information on staff selection and contract arrangements)
- IT (devices needs)
- Liaise with appointed suppliers to implement their staffing and logistics plans.
- Assist the VM department in elaborating the Purchase Order (PO) process and verifying invoices according to the applicable HBS financial procedures.
- Coordinate with another VM coordinator to keep consistency across all department and project-related activities
Operations
- Support the Senior VM team in the International Broadcast Coordination Centre (IBCC) with day-to-day tasks.
- Monitor the implementation of the VM department’s staffing plan and assist in unexpected situations that require immediate action.
- Ensure that up-to-date information is communicated to the Broadcast Venue Managers (BVM) in the stadium.
- Support the on-site personnel in using the company event tools.
