Purpose

Working closely with the Director of Project Mgmt, Solutions & Technologies, the Project Mgmt, Solutions & Technologies Corporate Manager support the organisation of the work and ensure the progress of division contributions to corporate matters as well as projects.

Acting as a key point of contact for corporate & project matters for all resources external to “Project Mgmt, Solutions & Technologies” Division, in particular other Division/Department’s Corporate Managers and Project’s PM-Teams.

Acting as the reference / key internal resource for the “Project Mgmt, Solutions & Technologies” Division’s day-to-day contribution and compliance with corporate & project processes & tools.

Main Activities / Responsibilities

Division Internal Coordination

  • Full on-boarding supervision of the Division newcomers, including presentation of corporate tools & process such as Mobile expense, Kadence, Figgo, Activity App, TRF, etc.
  • Support Division resources for their questions related to the corporate & project processes
  • Support Division internal meetings, workshops organisation
  • Follow-up on Division internal actions
  • Support Division cohesion and spirit

 Division Administration

  • Management for the Division of the ‘On/Off-boarding process for Staff’, maintaining the ‘active staff data-base’ for Division resources
  • Flex Office process manager for the Division
  • Sharepoint management for all Division SharePoint spaces
  • Management of the Procurement process for the Division
  • Follow-up of suppliers invoicing and payment

 Division External Coordination

  • Key contact to introduce the Division to all HBS newcomers (HBS Internal Communication welcome tour)
  • Division key contact to answer / drive any HBS staff to the right Division resource for any question / matter related to the Division scope of activity

Division’s Project Management

  • Division project planning elaboration with Division contributors
  • Division project reviews with Division contributors
  • Maintain Division’s WeTrack plans accurate and updated
  • Support to Division’s People Allocation forecasting
  • Participation in Ops Meetings to follow up on Division matters
  • CRUISE Coordinator for the Division
  • CERES Coordinator for the Division

Position Relevant Skills (Education / Work Experience / IT)

  • Great communication skills to play an interface key role with other departments and projects
  • Structured, organised and rigorous
  • Good in following and promoting established process
  • Flexible approach and ability to adapt to changing priorities and demands.
  • IT skills: excellent command of Pack Office, good in general with IT tools
  • High sense of responsibility
  • Service-oriented (internal and external)

Required Languages

  • English fluent (Spoken & Written)
  • French fluent (Spoken & Written)
