The travel assistant supports the travel department with day-to-day activities.

Main Activities/Responsibilities (Primary Role of the Job)

  • Research the most appropriate travel options
  • Book and administrate the day-to-day travel arrangements (flights, accommodation, transfers) for Core Team staff and Consultants in accordance with the corporate travel policies
  • Attentive to the traveller’s profiles and preferences (frequent flyer cards, passports, etc.)
  • Complete the appropriate documents to have a good overview of the activity
  • Follow up and approve the invoices, ensuring the HBS financial procedures are respected

Position Relevant Skills (Education/Work Experience/IT)

In addition, a hands-on approach, flexibility, and the ability to work under pressure are required.

  • Previous experience of travel arrangements in both planning and operational roles
  • Detailed and thorough in checking documents
  • Prospective, proactive and highly organised
  • Comfortable with multitasking and working to tight deadlines
  • Patient and service-oriented
  • IT skills very well developed
  • Good interpersonal skills with the ability to liaise with individuals at different levels of the organisation and with external suppliers
  • Flexible approach to work with the ability to adapt to changing priorities and demands
