Purpose

Working under the responsibility of the Head of PMO, the Project Management Officer is a key actor so:

  • The HBS Project Management approach is consistently and efficiently applied on each and all HBS projects (methodologies, process & tools, resources)
  • HBS as a company can anticipate and steer its multi-project activity

He/she plays a key role in increasing HBS’s collective skills in Project Management based on proven and established methodologies, with a specific focus on interacting and coordinating active PM-Resources.

Main Activities / Responsibilities

Project Management

  • Support the Head of PMO in maintaining and improving consistent & efficient Project Management processes & tools (HBS PM Canvas) in ligne with HBS industry requirements
  • Be the key referent for all active PM-Teams in regard to Project Management methodologies and tools
  • On-board new PM Teams to HBS Project Management methodology (HBS PM Canvas) and to the “Project Tool Box”
  • Ensure the consistency of the Project Management approach on all HBS projects and by all active PM teams
  • Ensure the correct deployment and use of the “Project Tool Box” on projects
  • Act as a Project Management tool owner by consolidating needs from PM-Teams and support with the PMO team, the functional evolution requirements of our PM tool box

 Project Portfolio Management

  • Provide visibility to all Directors / Heads Of on HBS Portfolio so they can actively and adequately steer their activity (anticipation, resource allocation, risks…) by :
    • Providing them support in the best use of all Project Management processes & tools
    • Issuing regular dashboards on their Department activity
  • Support the identification and monitoring of projects / multi-project risks
  • Support the Key Project Learning process to ensure all projects benefits from each project learning

Corporate (to be spread across PMO positions)

  • Manage the scheduling tool (WeTrack):
    • Provide support to HBS users
    • Administrate the tool (accounts, new projects, etc.)
    • Manage evolutions and bug fixing with the provider
  • Owner of the Ops Reporting App (OPRA): adequation of the platform to meet the needs of all stakeholders, from its set-up, configuration and use on projects up to the management of evolutions according to business needs.
  • Owner of CERES Platform, which is the heart of HBS operational resources planning: in charge of the adequation of the platform with the needs of all stakeholders, from its set-up, configuration and use on projects up to the management of evolutions according to business needs.

Position Relevant Skills (Education / Work Experience / IT)

  • Either experiences in the event-project industry with the motivation to grow skills in Project Management methodologies and tools (Planning and Operation phases) applicable to event management or experiences in Project Management / as a PMO with the motivation to learn the specifics of managing events-projects by deliverables and by risks
  • Structured, organised, rigorous with a high sense of details
  • Great in communicating, explaining and promoting the benefits of applying developed methodologies and processes but, ultimately, able to ensure they are applied
  • Consensus and service-oriented
  • Enjoys working with people from different nationalities, languages and cultural backgrounds
  • IT skills: excellent command of Pack Office, scheduling and planning tools
